Privacy Statement for Members

We collect personal information from you, including information about your:

  • name
  • personal details
  • contact information and location
  • health, medical history, and disabilities
  • academic achievements including University examination results

Where you have authorised us to do so we may collect information about you from others, including:

  • the University of Otago (academic and enrolment information including examination results)
  • your health care providers (where we are concerned about your wellbeing)

We collect your personal information in order to:

  • meet our statutory and moral duties including in relation to welfare, pastoral care, and health and safety including under:
    1. the Health and Safety at Work Act
    2. the Education (Pastoral Care of Tertiary and International Learners) Code of Practice
    3. the Education and Training Act
  • support your health and wellbeing
  • support you academically, including identifying where you are having difficulties
  • conduct administration of the College
  • ensure you are complying with the Accommodation Agreement and our policies

Besides our authorised staff, we may share this information with:

  • your parent(s)/guardian(s) (where there are issues in relation to your wellbeing or conduct as a Member)
  • the University of Otago (for the purposes of obtaining your academic and enrolment information including examination results)  
  • your health care providers (for the purposes of obtaining information when we are concerned about your wellbeing)
  • any other person where you have provided consent or authorisation

You providing the information requested is voluntary and not mandatory. However if you choose not to provide the information (or withdraw your consent and/or authorisation for us to collect that information) you will breach clause 7 of the Accommodation Agreement and the College may require you to withdraw and leave the College.

You have the right to ask for access to the personal information we hold about you, and to ask for it to be corrected if you think it is wrong.
